Once created, a GraceBlocks user account is active until it is deactivated by the user under My profile. Even if a user's account is removed from a specific Zone or Block by the Zone owner, the user continues to have an active account to use for creating new Blocks (if authorized) or collaborating on Blocks in other Zones on the GraceBlocks platform. The account remains active until the user chooses to deactivate the account. |

Active Zone | When a Zone is active, authorized users can access the Zone. When a Zone owner creates a Zone, it is an Active Zone. It can be deactivated or reactivated by the Zone owner under Zone settings. |

Block end user | The Block end user is any licensed Graceblocks user with a role other than Block builder inside a Block. When these individuals access a Block, the Block Builder capabilities are not available. If needed, Block Builders can control access to information inside the using up to three security levels: Security Access: General, Level 1, and Level 2. Block user status |
The Block user status references the existence of a relationship and status of a user's GraceBlock's account specifically for a single Block within a Zone. A user can belong to and can have varying statuses for each Zone (see Zone user status) and Block (the Block user status) in GraceBlocks. For example, even if a GraceBlocks user has an Active Account, their Block user status may still be Pending or Invited, because this status is specific to Block within the Zone. GraceBlocks account holders can have four possible statuses in relation to a specific Block within a Zone:

Copy/Paste | While working in a tab using the spreadsheet view, you can use copy (CTRL+C) and Paste (CTRL+V) actions to populate multiple cells at one time. Copy data from spreadsheets or .csv files as needed using this function. 💡Note: If you are trying to copy data from another tab, you should first download the data and then copy and paste from the resulting .csv file to ensure the best results. Details page | Inside Blocks, it's easy to collaborate with other users of the same Block. From any record that resides in any tab, you can access the details page for the record by clicking the first column label, icon 🔎, or link # (depending on that tab's configuration and view). If you are a large employer, with more than 5,000 employees and would like to deploy GraceBlocks across your business, it is likely that your Zone will benefit from these additional thresholds and protocols. Field Type: added on | This field type displays the date (and potentially time) when the record was created. Formatting options exist under the More field attributes toggle to choose the date format and whether or not the time will also display. You can add this field to a tab at any time. Field type: collaborator | This field type allows one or more Zone users to be assigned a role for records that are added to the tab. This field type is an essential component to the Collaboration capabilities within the system and also has implications to how roles and security access works in the system. Options such as allowing single or multiple collaborators, assigning a default collaborator, or activating collaborator notifications (paid plans only) can be found using the More field attributes toggle. Field Type: counter | This field type automatically inserts a sequentially incremented numeric value to all records that are added to the tab. This field type is an easy way to give a helpful unique identifier to each record, if it is needed. This field type can only be added to a tab once. Options such as resetting the numbering and defining the start number of the counter can be found using the More field attributes toggle. Learn more: field Type: counter. |
Field type: date | This field type allow users to specify a date value. Use the More field attributes toggle to format the date, choose whether time will be included, and automatically set a default date value into each record on creation that is X days from the date of record creation. Field type: email | This field type allows users to provide an email address in the field. Data is only stored in this field if users provide a valid email address. Invalid email addresses are highlighted in red and will not save into the system. Valid email addresses will convert to clickable email to: links. Learn more: field type: email. |
Field type: formula | This field type allows builders to derive values for records based using functions. Learn more: field type: formula. |
Field type: long text | This field type allows users to provide up to 10,000 characters of text into the field. This field type is useful for long descriptive text. However, keep in mind that if you will be exporting or reporting on this data, you might need to consider using the short text field type instead. Learn more: field type: long text. |
Field type: lookup | This field type automatically inserts information from a relational field's tab, as prescribed. This field is available only after the first relational field has been configured into the tab. Learn more: field type: lookup. |
Field type: messaging thread | This field type allows text messaging to occur between Block users and records that have been added to the tab. This field is only visible after a means of messaging with the record has been configured into the tab. (The first available means is adding a mobile number in the phone field type). Field type: masked text |
Is is possible to create fields that are masked with hash marks *** limiting the display of all or part of the cells in the field, and allowing only authorized users to unmask these fields. This field type is only available with pro or higher-level plans. |
Field type: multiple select | This field type allows users to select one or more options from a predefined list. When configuring this field type (which is also known as multi-select), the Builder can prescribe colors and the ordering of each value option. Use the More field attributes toggle to easily alphabetize a list and toggle on/off colors. Learn more: field type: multiple select. |
Field type: phone | This field type allows users to store a U.S. or internationally-recognized valid phone number in the field. The system auto-formats the number. Invalid phone numbers are highlighted in red and will not save in the system. Use the More field attributes toggle to access additional settings, such as is mobile phone. Field type: relational | This field type allows users to access and connect records between the current tab and any other tab across the entire Zone. This feature allows builders to establish relationships between records. Adding a relational field automatically places a column in both the current tab and the selected relational field. Use the More field attributes toggle to designate whether these fields support multiple or single selections of values, have limits applied to values presented, or will operate as nested fields. Field type: RTF | This field type allows users to provide up to 10,000 characters of formatted text into the field (bold, italics, hyperlinks, checkmarks, bullets and numbers, etc.). Learn more: field type: RTF. |
Field type: short text | This field type allows users to enter text into the field. GraceBlocks recommends using this field type (instead of long text) if exporting or reporting on this data might be necessary. By default, this field supports up to 255 characters, but Block builders can use the More field attributes toggle to access setting options for limiting the character length of the field. Field type: single select | This field type allows users to select one option from a predefined list. When configuring this field type, the Builder can prescribe colors and can drag around the ordering of each value option. Field type: system ID | This field type automatically inserts the system's autogenerated numeric value for the record added to the tab. The number assigned cannot be edited, reset, or changed in any way. Use the counter field if you want a number with a little more control (such as defining a start number or auto-renumber records, starting with a clean number being set on the final deployment of your system). Field type: updated by | This field type displays the user who last updated the record. Change of field, message sent/received, and collaboration activity are all updates that trigger a change to this value. This field can be added to a tab at any time and will show this information for all historic and future records added to the tab. This field type can only be added to a tab once. Free plan | GraceBlocks offers a variety of pricing plans. Each Zone where you are a user is on an individual pricing plan, as elected by the Zone Owner. If you create your account from scratch, you will create and be the Zone Owner for the Zone created with your account. Users can also create and own additional Zones from the GraceBlocks homepage, provided that they have supplied a validated mobile phone number at are at least 18 years of age. Upon creation, a Zone starts on the Free plan, which supports various features. Inactive account | Users individually own and can choose to deactivate their GraceBlocks account anytime, converting it from an Active account to an Inactive account. Inactive accounts are removed from user license counts in all Zones with the account associated. A user with an inactive account can no longer log into any GraceBlocks for any Zone. If the user creates a new account using the same email and/or phone credentials, GraceBlocks creates for them a wholly new account with no association with the previously inactivated account. As an alternative to deactivating accounts, Zone owners can also remove active user accounts from their Zone, which removes those users from the user license count for their Zone but leaves the accounts for those users active for use in other Zones. |

Record identifier |
For each tab, Block builders can specify up to three fields on the tab to clearly specify records for this tab in various places throughout the Zone. For example, users can find and view records using the record identifier when interacting with related records. For example, if I'm working with a tab of contacts, I may use two fields, (1) first name and (2) last name, as the record identifier fields. By default, the record identifier is the first column of the tab. However, after tab creation and once more fields have been added to the tab, you can change this value by editing the tab properties. Within both Zones and individual Blocks, the user's role controls the available capabilities. There are two types of roles:

Removed block user status | See Block user status. |
Section headers | Section headers are numbered areas that can be labeled by the Block builder on the details page of a record. Block builders can also drag around the fields and section headers as needed. The purpose of section headers is to allow the most logical grouping of information for Block end-users viewing this information. |
Security Access: General | Security Access: General is a Role that is available when adding Block end users to a Block and the default setting for access to Block tabs and fields for Block builders. Grant this role to end-users who should not be able to access sensitive information inside the Blocks they are authorized to access. When builders add users to Blocks, they can control the user's Role inside the block. If a Block builder does not put sensitive information inside the Block, there may be no need to think much about this concept. However, security options exist should there be a need to control who can access or do certain things within Blocks. Block end-users with this level of access do not see any capabilities to which security has been applied. Learn more about security access levels. |
Security Access: Level 1 | Security Access: Level 1 is a security level that can be set for tabs and field types under the More field attributes toggle. When assigned by a Block builder, this security level excludes the referenced capability from Block end users who have the role of General User. |
Security Access: Level 2 | Security Access: Level 2 is a security level that can be set for tabs and fields under the More field attributes toggle. Send invitation |
Send invitation is an action that a Zone builder or Block builder takes after adding a user to a Zone or Block. After the builder adds the user, the Send Invitation button appears on the record row. When the builder clicks the button, GraceBlocks sends the individual an email with a link to access the Zone. Upon validation of their account, the user can enter the Zone with the roles granted to them, allowing them to see any Blocks where they have been given a Block role for the Zone. |
Share | While viewing a tab in the spreadsheet view, you can provide viewing access to records with individuals with no role in the Block. If a filter has been applied to the list of records before you click the Share icon ( |
Spreadsheet view | You can use the spreadsheet view to view a tab of records in a Block. The view looks like a spreadsheet, with columns and rows of data. Tab | Tabs function like pretty tables for storing data and act as a fundamental structural component inside a Block platform. Blocks are made up of tabs. Inside each Block, Block builders define each tab, giving it basic system parameters about how it will work, what it will be called, the icon used to represent it, its sequential order in the Block's design, its record identifier, and the fields that will be associated with it. Tab icon | The tab icon (which you can select from a list of over 1,000 icons) represents a tab, as specified by the Block builder. |

Zone Users Block | The Zone Users Block is a special Block unlike any other Block in GraceBlocks. It is used to manage Zone users. This Block is automatically delivered with every GraceBlocks Zone and cannot be deleted. This Block is accessible only to Zone owners. This limitation is necessary because users who are added to Zones affect the user license counts and the associated pricing for GraceBlocks plans. Once a Zone owner adds a user's email address to the User's tab and specifies their Zone role, they will become a Zone user. |
Unused user license | This is the number of user licenses purchased by a Zone owner that are not currently assigned to active accounts or invited accounts. It's the balance of licenses that are not being used while purchased and available. |
User license | While the free plan for GraceBlocks supports an unlimited number of user accounts, all other plans have associated user licenses that must be purchased. The number of user licenses refers to the number of users who can be granted access to the Zone, as prescribed by the Zone owner while purchasing the plan. Zone owners can update and modify purchased licenses under Zone Settings |
Used user licenses | This is the number of user licenses purchased by a Zone owner that is currently assigned to active accounts or invited accounts. Read more about plans. |
Validate email and mobile phone | Under My profile, users can manage their account information, including providing contact information like email and mobile phone options. For both email and mobile phones, depending on how you create your account and the features you want to access, you may need to ensure that you complete an email and/or phone validation step. Until the user is validated, you can click not yet verified, and send validation message for the provided contact information. View | The View defines the structural arrangement of information for the tab that a user is viewing. There are currently three possible view options: Quick view, Spreadsheet view, and Messaging view. The messaging view option only exists in tabs where the messaging thread field type is in use.
