When you access a tab in GraceBlocks, you can see one record for each entry. In spreadsheet view, each row represents a record, and each column represents a field that describes an attribute of the record. This article covers the following ways that users can add new records to a tab:
- Adding new records from spreadsheet view
- Adding new records with the + Add new record button
- Adding new records through web forms
Adding new records from spreadsheet view
When you are in spreadsheet mode, you can add records to the bottom of the list of records by scrolling to the end of the list and typing directly into the first empty row you encounter. Enter text just like you would into a spreadsheet. Pressing Tab completes your entry and takes you to the next cell on the right to enter more data. Pressing Enter takes you to the next row, allowing you to create another new record. As soon as you enter text anywhere on a row and then leave that cell by clicking on another cell or pressing Enter or Tab, the new record is created.
Adding new records with the + Add new record button
The Add new record button allows you to use a form to add a new record, as described in the following steps.
From the tab where you want to add a record, move the cursor over the + Add new record button, and then click it.
The form for creating a new record appears.
The path you follow next depends on which version of the form appears for you.

Path 1: Default form
If the form looks like the image to the right, it's the default form provided by GraceBlocks. No fields are required.
Complete the form, and then click Create new record.
The modal closes and the new record is accessible from the tab.
Path 2: Builder-configured form
If a builder has configured a form and set it as the public default web form, that builder-configured form appears, instead of the default form. It will look similar to the image to the right.
Complete the form, which may be multiple pages. Continue until you reach a success confirmation message that acknowledges that you have successfully completed the entry. Then click Close x in the top right corner of the modal.
The modal closes, and the new record is accessible from the tab.
🔔 Users can take this action from any view available for the tab.
🔔 If the builder has not configured a public default web form, the system default form (path #1 above) appears.
🔔 Builders may also configure and publish additional web forms that you can access to create records. If builders have configured and published these forms, an additional dropdown option appears on the right side of the + Add new record button. Click the dropdown icon to see a list of other forms that you can use to create records.
If you click any option that appears from this dropdown, the selected form launches in a new browser tab. Anyone who accesses the URL of the form (as presented in the new browser tab) and completes the form to the final confirmation page creates a new record inside the tab.
Adding new records using web forms
A web form is a publicly available form, which when completed creates a new record inside of GraceBlocks. These forms are always configured by builders using the web forms feature. Builders can publish the URLs of these web forms in places where it is appropriate to collect new records. If more security is needed, they can also embed the code of a web form into a protected web page. For each web form a builder creates, the builder controls the fields that are collected to create a record with the form. The builder also controls additional attributes of the form, such as:
- Which fields are required
- The number of pages in the form
- Whether a progress bar appears on the form pages
- Branding and colors
- Footer text
🔔 If the builder creates a web form and sets it to be the public default, that form appears when you click the +Add new record button.
🔔 If the builder has set any other web forms as public, you can easily access these web forms from the dropdown option that is available on the right side of the + Add new record button.
